Job Summary: Administrative Assistant Sr (External Affairs and Communications)
This position reports to the Southern Nuclear Company (SNC) External Affairs and Communications Director at the corporate Energy Center in Birmingham, AL. It is responsible for providing administrative support to the employees in the SNC External Affairs and Communications organization throughout the fleet. This position is also responsible for supporting the Emergency Response Organization during drills and for maintaining company membership in several professional organizations.
Job expectations include managing day-to-day office operations, P-card expense statement processing, invoice processing, check request handling, meeting planning and support, travel arrangements, timekeeping, calendar management, office supply inventory management, general office area support, organization of documents, filing, budget tracking and management, and various special projects.
The use of Microsoft Office applications (Outlook, Teams, Word, Excel, PowerPoint, SharePoint, etc.) are key requirements for this role. Working closely and efficiently with executive assistants is also a key requirement for this role.
Job Requirements:
High School Diploma or Equivalent required. College experience or degree desired
A minimum of three years’ administrative work experience performed at a high level of proficiency in traditional office skills is preferred
Strong written and verbal communication, planning and organizational skills are required
Experience responding to internal and external requests in a customer-focused manner
Prior experience and proficiency in Microsoft Office suite applications is required
Prior experience and proficiency in other Southern Company support systems is a plus (Oracle Enterprise Solutions Applications, Cool Compliance, etc.). Must be able to learn them quickly if no prior direct experience.
Demonstrated ability to coordinate multiple projects/activities efficiently and successfully
Experience in budgeting and understanding of financial concepts desired
Job Responsibilities:
Provide overall administrative support for the External Affairs and Communications department
Manage Director’s calendar, including coordinating meeting and travel arrangements
Perform timekeeping administration for department
Manage/process charitable contributions and company sponsorships; maintain corporate record of giving and archival of supporting documents
Maintain/update company/department distribution lists within Outlook and Security WebWare
Process check requests, invoices and P-card expenses for management and departmental expenses
Participate and support activities during drills of the Emergency Response Organization
Serve as brand ambassador alongside teammates
Perform budget management tasks including preparation, research, and reconciliation of various financial transactions (check requests, invoice processing, etc.)
Maintain/update Communications Handbook and POET accounting codes
Keep office supplied and ready (copier/printer functional and stocked with paper, Order coffee/office supplies/branded company merchandise as needed, manage mail, etc.)
Coordinate with Building Operations on requests for building needs, office moves, maintenance requirements, etc.

Position reports to the Director of External Affairs and Communications which reports to the senior vice president of Technical Services and External Affairs.
