Administrative Assistant – Power Delivery – APC Substation Services

Summary of Position Duties

This position will be filled at a Non-Exempt level 4-6 depending on the experience and qualifications of the candidate. This position is responsible for providing direct administrative support to the Substation Services Manager and staff and is called upon on a regular basis to assist the other Managers within this department. This position fills a critical communication role within the department and a vital communication link to internal and external customers. Duties will include, but are not limited to: maintaining communication channel within the department; ability to process and maintain confidential information; processing invoices; preparing expense and corporate card statements; timekeeping and payroll administration; scheduling and coordinating meetings and meals; maintaining calendars; research data and prepare correspondence and reports; responding to phone calls and e-mails; training records; preparing and assisting with presentations; purchasing supplies; handling travel arrangements; storm logistics support, and assisting with special projects.

This position is located in Birmingham, Alabama.

Job Experience

  • Experience in a clerical/administrative support role preferred

  • Demonstrated computer skills using Microsoft Office products (Outlook, Word, PowerPoint and Excel)

  • Experience with APC software programs such as E-STARS, CAMP, TEAMS, STOMP, Budworks, Maximo & i-Expense preferred

Knowledge, Skills & Abilities

  • Strong organizational and administrative skills, with an attention to detail.

  • Strong interpersonal and communications skills, both verbal and written.

  • Proven ability to prioritize and multi-task.

  • Must possess the ability to both work in a team and independently with minimal supervision.

  • Excellent phone etiquette.

  • Excellent time management skills.

  • Knowledge of Company operations, policies and procedures.
